Imamia Medics International Privacy Policy

At Imamia Medics International we make sure we protect the information you give us.

We have made improvements to our privacy notice so that it is clear and easy for you to exercise the rights you are granted under data protection legislation, and for you to choose how you want to hear from us.

The purpose of this notice is to give you a clear explanation about how Imamia Medics International collects and uses the personal information you provide to us.

We take care to ensure that we use your information in accordance with all applicable laws concerning the protection of personal information. This privacy notice covers:

Consent

Different Types of Users

The type of information we collect and hold about you will depend on whether or not you are a member of Imamia Medics International (past or present), a registered user of our website or simply browsing our resources or contacting us for other purposes.

If for any reason you give us personal information on behalf of or about someone else, you should ensure that you have the right to provide us with that information, and direct that person to this Policy to inform them how we will process their data.

The legal basis that we rely on will depend upon the circumstances in which we collect and use your personal information. In almost all cases, our processing of your personal information will fall into one of the following categories:

  • Where you have provided your consent to allow us to use your data in a certain way.
  • Where the processing of your personal information is necessary to carry out the performance of a contract with you (for e.g. if you register for an online course).
  • Where the processing of your personal information is necessary for us to comply with a legal obligation (for e.g. sharing notices for Annual Meetings with dues-paying members or preparing and maintaining donor records for authorities.)
  • Where it is in our legitimate interests to contact you in order to raise funds and achieve our humanitarian objectives. In doing this, we have determined that such processing is not likely to be too intrusive, or excessively infringe on your rights and freedoms.
  • In some circumstances, we may use a combination of consent and legitimate interests to process your personal information.

These legitimate interests may include:

  • Operational work: including achieving our objectives to serve humanity, conducting statutory and financial reporting, and ensuring regulatory compliance.
  • Administration and management: including administration relating to volunteers and staff to comply with legal requirements, the provision of information and services, research, and the management of events.
  • Campaigning, fundraising and marketing: including sending direct marketing by post (and in some cases by telephone for existing supporters), thank you letters, analysis, targeting and segmentation to improve the efficiency of our communication and manage your communication preferences, and in some cases, advertising programs and services similar to those which you have shown interest in before. What information we may collect about you

The type and amount of information we receive and store depends on how you use the Imamia Medics International Websites and/or Imamia Medics International Applications. You can access most of the pages on the Imamia Medics International Websites without telling us who you are and without revealing any personal information.

If you:

  • register with our website,
  • use any of our social tools,
  • apply for Imamia Medics International membership,
  • register for events, delegations or services (mentorship, career guidance, professional development), including subscribing to updates or bulletins, or
  • contact Imamia Medics International for any other purpose (including via social media),

you will be asked to submit personal information.

This may include your name, surname, your Imamia Medics International membership or professional specialties, license, date of birth, address, phone number and email address. For other services, we may require further personal details. We may collect your bank account details when setting up a regular direct debit, a credit card or debit card number when processing payments by card, and details about your taxpayer status when claiming Gift Aid. We may even collect your opinions when you complete surveys, enter competitions or respond to questions from us. We gather this information to allow us to process your registrations, applications or any services you require.

If you are an Imamia Medics International member, we collect additional information about you in your membership application including your religious affiliation given our membership criteria requirement. We may also collect information during the course of your membership about the services you use, your preferences, responses to surveys, attendance at events and other contact you have with us (including use of any of our services).

Finally, we may monitor and record communications with you (such as telephone conversations and emails) for the purpose of quality assurance, training, fraud prevention and compliance.

Social Tools

Imamia Medics International may at its discretion make available from time to time on its website, or by way of device apps, social tools to allow users of the website or members of Imamia Medics International to communicate, including networking or posting their own content (for e.g. an Imamia Medics International discussion forum).

All members of Imamia Medics International and registered users of the website may use these social tools when logged in to the website.

Your profile name will be set as default to the name that you used when joining Imamia Medics International or signing up for an account on an Imamia Medics International website. You may be able to change the name displayed or add other information to your profile, including an image, if you want to. Instructions will be provided with each tool, but these will not change your Imamia Medics International contact details.

If you use such services, you understand that (unless otherwise specified) any content you post, including personal data based on your settings, may be available to other members of the website or Imamia Medics International, or may be published publicly.

Remember your posts may be read by others: please act in a professional and courteous manner at all times. You are responsible for any content you post. If you have any concerns about something you have posted, you are able to edit or delete your User Content at your discretion.

Your profile is available to other users, together with any posts that you have liked or posts that you have made. Recent public posts and activity may also be displayed on Imamia Medics International’s website to non-members.

Your posts can be made in public groups or closed groups. Posts in public groups are available to all users of Imamia Medics International and recent posts are displayed to non-members on the home page. Posts in closed groups are only available to members of the closed group.

We are not obliged to monitor or moderate User Content to our social tools, but we may do so. We may (but are not obliged to) access, preserve, and disclose any content posted by you in order to: comply with any legal process; enforce these terms; respond to any disputes; or protect the rights, property, or personal safety of Imamia Medics International or others.

Use of cookies

A cookie is a text-only piece of information that a website transfers to your computer's hard disk so that the website can remember who you are. A cookie will normally contain the name of the Internet domain from which the cookie has come, the "lifetime" of the cookie, and a value, usually a randomly generated unique number. Imamia Medics International Websites do not use cookies.

Sensitive Information

Sensitive personal information is information which relates to issues including your health, sexual orientation, race or religion. We may obtain sensitive personal information about you if you volunteer it during any of your contact with us.

If you are a member of Imamia Medics International, the fact of your membership is itself sensitive personal information (given our membership criteria includes your religious affiliation). We will not share details of your membership of Imamia Medics International with third parties to use for their own purposes without your consent.

We have additional obligations to treat sensitive personal information with appropriate care, taking into account the nature of that information. The best way to restrict the processing of your sensitive personal data is not to give it to us unless it is necessary for the services you are obtaining from us.

However, if you do volunteer such information or join Imamia Medics International, you consent to us processing your sensitive personal information for the purposes for which you have provided the information, or as either explicitly or impliedly communicated to you at the time you provided the information. In particular, you consent to us using our service providers in the normal course of business to process that sensitive personal data under an appropriate contract with us.

You also consent to us confirming the existence of your membership to approved providers who you wish to obtain services from where either the services are only available to Imamia Medics International members or a benefit (such as a discount) is provided by those providers to Imamia Medics International members.

If you do not consent to this use of your sensitive personal information, you must let us know when you provide us with this information, or contact us. Please note that if you do not wish to consent to such use, you may be restricted in the services you are able to obtain from Imamia Medics International.

How we use your information

We carefully manage the communications we send you to ensure we are contacting you in the most appropriate way. If you ask us to stop contacting you, we will, unless we are legally obliged to communicate with you.

We may use the personal information we collect from you to:

  • Provide you with information about Imamia Medics International and the work that we do, including products and services that you’ve asked for online.
  • Administering and managing your donation, including data processing relating to receipts, tax-deduction, Gift Aid claims, legacies, lottery events and raffles.
  • Manage your direct marketing and communication preferences.
  • Ask for your financial support, such as making a donation to our latest appeal.
  • Encourage you to submit content to further our purposes (for e.g. articles for the Journal of Medics International or courses for Medics International Virtual University).
  • Encourage you to take action as part of our latest campaign.
  • Comply with our legal and regulatory obligations
  • Analyse the performance of our campaign actions and fundraising appeals.
  • Keep a history of your support, including donations you have given and actions you have taken.
  • Target online advertising effectively, reaching people who share similar interests and characteristics to our supporters.
  • Create a record of your interests, preferences and level of potential engagement or donation.
  • Organise and administer attendance at our events, such as our annual meeting.

How we share your personal information

The information you provide will not be sold or rented nor will it be shared with third parties unless we have your permission, or are required to disclose the information by law or in the following circumstances:

  • Sharing with Imamia Medics International Chapters and Structures: In addition to Imamia Medics International, there are several Imamia Medics International Chapters and Structures located around the world, including within Europe. An Imamia Medics International Chapter is a formally constituted body which carries out Imamia Medics International’s work in a given country, state, territory or region. Similarly, an Imamia Medics International Structure is a national or regional body established by Imamia Medics International to promote and implement Imamia Medics International's vision and missions. Imamia Medics International may share your personal information with Imamia Medics International Chapters and Structures located around the world, who may then use your personal information in connection with their activities related to Imamia Medics International or about Imamia Medics International's activities in general. For example, if you have expressed an interest in joining Imamia Medics International or sign a petition, we may share your contact details with your local Imamia Medics International Chapter or Structure.
  • Hosting and processing: The Imamia Medics International Websites and Imamia Medics International Applications are hosted by third party service providers and therefore any personal details you submit through the Imamia Medics International Website and/or Imamia Medics International Applications may be processed by that third party service provider. We may also use other third parties to process your personal details. For example, such third parties may process your personal information to action expressions of interest to join Imamia Medics International, process donations to Imamia Medics International on our behalf or process and forward mailing information for users sign up to our online actions and/or choose to subscribe to our email updates. All of these third party services providers will process your personal information only on Imamia Medics International's behalf and will be bound by strict confidentiality conditions.
  • Payment processing and fraud: Where submitted, your card details may be disclosed to banks or relevant financial institutions to arrange payments. In the case of a suspected fraudulent transaction, your details may be further disclosed for the sole purpose of performing further checks (for example, disclosure to a credit checking agency).

The disclosure of your personal information discussed above may involve transfer of that information outside of the UK and European Union. Countries outside of the European Union, such as the United States, may not have data privacy laws as strong as those in force in the European Union.

How we keep your information safe

Imamia Medics International has robust measures in place to ensure our physical and technical systems are secure. We take appropriate precautions to protect all personal information we keep on our database, including using encryption and monitoring access to our secure networks and systems.

We also take care to ensure we have secure systems for processing your payment information, such as your credit card or debit card details. Our current payment service providers use a range of methods to protect your personal information including secure payment gateways, fraud screening and IP address blocking.

Such details are transmitted in an encrypted manner via a Secure Socket Layer (SSL). Similar details collected through other sources (for example by telephone or surface mail) are stored in accordance with relevant legislation. No financial details are passed to third parties without your explicit permission or unless we are required to do so by law.

Despite our best efforts to protect your personal information electronically, the security of information sent over the internet cannot be guaranteed to be 100% secure and may be illegally intercepted or changed after it has been sent. Imamia Medics International cannot accept liability for this if this happens.

How we will contact you

We have processes in place to review how we communicate with you, especially in situations where you have not engaged with us for a while, or where the circumstances of how you interact with us change. Where you tell us that you no longer want our updates, we will act on this as soon as we can.

Where needed, we may contact you for administrative purposes using the contact details that you have given us - for example, in relation to sending receipts, tax deduction details or Gift Aid claims or to send Imamia Medics International member products as part of your membership subscription benefit.

  • We will only contact you by email if you have given us your consent along with your email address. Email is low-cost and fast to send and respond to, and allows us to maximize the impact of your donation to help beneficiaries while maintaining transparency with and accountability to our donors of how your funds are being used.
  • You can opt out at any time by clicking on the ‘unsubscribe’ link at the bottom of emails.
  • We will only contact you by text or whatsapp if you have given us your consent along with your mobile phone number. Text and WhatsApp messages are a fast and low-cost way to ask you to support a cause, join humanitarian relief missions, stand up for an individual whose rights are being abused and occasionally, to raise funds. You can opt out at any time by following the unsubscribe instructions in our text messages or simply exiting the WhatsApp group.
  • From 25th May 2018, if you are new to Imamia Medics International, we will only contact you by telephone if you have given us your consent along with your phone number. Exceptions to this are:
    • where you have signed up to our whatsapp group, or taken a text-based action, as we will use your mobile phone number to call you about the impact of your support, participation in volunteer engagements or event, and/or to ask you to make a donation to support our ongoing work.
    • where you sign up to fundraise for us (for example, by participating in an event or organising your own), as we will call you about ways you can achieve your fundraising target and how we can support you.
  • If you have already provided us with your phone number, we may call you occasionally, and will be checking that you consent to future phone contact during the call. Being able to call our supporters is important to our ability to publicise events or raise funds quickly, and most of our calling is carried out by Imamia Medics International staff and Board who share your passion for serving humanity. You can opt-out of phone calls at any time by contacting us at imihq@imamiamedics.com.
  • If you have provided us with your postal addres, we may send you post unless you have told us that you would prefer not to receive such information. You can opt-out of receiving post from us at any time by contacting us at imihq@imamiamedics.com.

How you can manage your contact preferences

You can change your contact preferences at any time. This includes telling us that you don’t want us to contact you for marketing purposes.

You can do this quickly and easily by:

  • Clicking update your preferences or the ‘unsubscribe’ link at the footer of our emails to indicate that you do not wish to receive some or any of our emails for fundraising, campaigning or organizational updates.

How we update this privacy notice

This privacy notice may change from time to time. For example, we may update this notice to reflect any relevant changes to legislation and regulation, and any changes to Imamia Medics International policy.

Access to your personal information

You may have rights of access to personal information that we hold about you, to correct that information or, in some circumstances, to object to our processing of your information, under data privacy law.

  • If you wish to exercise any of these rights or have any questions about this policy, please:
    put your request in writing;
  • include proof of your identity and address (eg a copy of your driving licence or passport, and a recent utility or credit card bill);
  • specify the personal data you want access to, including any account or reference numbers where applicable.
  • We may reply requesting further information, and payment of a small fee, if required before responding to your request.
  • If you would like to correct any inaccuracies in your data, this can be done free of charge. To do this, you should:
  • put your request in writing;
  • provide us with enough information to identify you (eg email address, IMI ID number, account username, registration details); and
  • specify the information that is incorrect and what it should be replaced with.
