On any given day, IMI HQ staff is just as likely to be stuffing envelopes for a membership mailing, as we are to be representing the incredible work done by IMI volunteers at the Scottish Parliament. We are just as likely to be bringing lifesaving access to healthcare in rural areas of India for many like Shahida, as to be ensuring financial compliance of IMI’s global operations with the US Office of Foreign Assets Control (OFAC) regulations.

Administrative Associate, IMI UK

IMI UK is seeking an Administrative Associate who is experienced with nonprofit administration and communications. This position reports to the IMI UK Co-ordinator and is the liaison with IMI HQ.

This is a part-time, paid position.

Duties and Responsibilities

Administrative

  • Preparing updates/newsletters from reports of IMI’s UK activities, including following up with IMI Europe to obtain the information as required.
  • Preparing content for IMI UK’s website, facebook and other social media accounts.
  • Scheduling board meetings and preparing (confidential) minutes and reports.
  • Filing, daily mail, data entry and updates to IMI’s database, board reports, contact lists, mailings, ordering and managing office supplies & stationery
  • Assist members and people who contact IMI UK with general inquiries or for services.
  • Handling other routine administrative and office needs as they arise.

Qualifications and Competencies:

  • Very good administrative skills required.
  • Proven ability to work on own initiative to tight deadlines and prioritise a variety of important and urgent but diverse tasks.
  • Must possess strong sense of responsibility and accountability; team player and partner mentality.
  • Sound confidential approach to work, where discretion is maintained at all times.
  • Passion for making the organisation work efficiently and for creating systems and processes that lead to organisational effectiveness.
  • A highly collaborative approach with a strong sense of teamwork and a willingness to work with colleagues (in all member chapters) in support of IMI’s objectives.
  • Highly-developed interpersonal and communication skills (both verbal and written), particularly with a focus on customer service representing Imamia Medics UK.
  • Mastery of the English language.
  • Technical proficiency in Microsoft Office and use of databases along with internet research techniques, required. Preferred candidate will have a good working knowledge of the desktop publishing applications.
  • Ability to solve problems and adaptability to respond to changing needs by being highly resourceful, creative and flexible.
  • Motivated and committed to humanitarian ideology.
  • Must be eligible to work in the United Kingdom.
  • Preferred candidate will have some previous experience in similar role.

Internships with IMI

IMI is currently accepting applications for summer interns from students or recent graduates. Internships include administrative and clerical task. Special projects are assigned to each intern as they arise, based on the interns interests and abilities, including research, drafting documents, event/program coordination and helping delegations prepare for missions.

While our internships are unpaid, students are often able to arrange academic credit as IMI HQ internships offer direct exposure to the workings of an international NGO, close supervision by IMI staff, interaction with other US and international organizations such as the United Nations, and foreign and domestic government officials, and opportunities to attend lectures, trainings, and special events related to IMI’s projects.
